Three stages, all on us

Book the date and the rest is our checklist, not yours. Here is exactly what we take care of before the day, on it, and after it.

Prepare

Everything that makes the day effortless happens before it. Lock the date and the checklist is ours — you approve things, we build them.

Booking → 3 days out

Date locked, production starts

The $300 base fee holds your date and covers pre-production. We confirm hours, blank counts, machines, and where the truck parks. Cancel 7 or more days out and it is fully refunded.

Design help, three ways

Send us a vector file, generate a design free with our web tool (guests can too — no account needed), or sit down with us and we design it together.

Your design, digitized and proofed

One design digitized free with every booking — each additional design is a $30 one-time fee. Digitizing is a craft: stitch path built by hand, density set for the fabric, a proof sewn and sent for approval. Complex artwork needs 3–5 days.

Your design, pre-stitched

Your artwork stitched ahead in the shop — 100+ panels guests finish with just their name at the booth, far beyond an eight-minute stitch (2 weeks). Or a signature piece in your brand's material, sourced and machine-tested (1 week). Quoted per project.

Blanks stocked to your count

Six standard blanks ride with us; high quality blanks are billed per the price guide. Bringing your own works too — send a sample ahead so we can check weight and weave.

Kiosk preloaded with your brand

The ordering tablets arrive already carrying your event: your pieces, colors, fonts, and — if guests pay — your prices. Test-stitched before doors.

On Site

We park, unfold, and run the whole booth — your staff never touch a machine. Guests design on a tablet and watch the needle work from a foot away.

The day itself

A booth that powers itself

Everything runs off the Cybertruck's battery bank and inverter — no venue circuit, no extension runs, no generator rental. Outdoors, we bring our own canopy and weights.

Machines with trained operators

1–2 embroidery machines, a UV printer and a heat press, each run by a professional operator of ours — roughly 10–15 stitched pieces per machine per hour, steady all day.

Six taps from idea to hoop

Guests pick a piece, type the words, choose font, thread color and size, and place it — a live preview shows the stitch before it exists. Eight to twelve minutes from order to pickup.

Stocked and restocked

15 thread colors, 7 stitch fonts, hoops, trimming tools, tables and backup blanks — replenished from the truck through the day.

A pickup line that runs itself

Three-digit tickets, called when ready; the pickup board shows what is up next, so guests work the room instead of standing in a line.

Mistakes cost a blank, not a guest

Typo or wrong color? We re-run it on the spot. There is no reprint order and nothing to ship back.

The booth leaves the same day. The useful part keeps arriving after it.

Order data and photos

The full order log — names, pieces, and the phone numbers guests chose to leave — plus a finished-piece photo set for your recap.

Zero leftover inventory

Unstitched blanks are generic: whatever is not used goes back or rolls into your next event. No case of merch with the wrong year on it.

One clean invoice

Hours invoiced within 48 hours — two hour minimum, billed to the quarter hour after that, plus blanks actually stitched. Venue parking or permits passed through at cost.

Ready for the next one

Your digitized designs stay on file, so a repeat booking skips pre-production and goes straight to the calendar.

Best fit is a three-hour-plus dwell. Plan in pieces, not headcount: one machine stitches 10–15 an hour — about 40–60 finished pieces over a four-hour booking. Need more than that, we add machines, or the line gets away from us.

Fly-outs and tours
LA, Seattle, Austin, Vegas. Machines ship freight, so we need 14 days notice and it usually only pencils out for two days or more.

The unglamorous details

Worth reading, but short. We are self-powered, so the only thing we really need from you is somewhere to park the Cybertruck and a patch of floor to set up on.

You Provide

Two things, basically

Parking for the Cybertruck — one full space, ideally within 100 ft of the booth so we can restock
20 ft × 10 ft of level ground to set up on, 8 ft × 5 ft at the absolute minimum
A load-in path a hand truck can roll — curb cut, ramp, or elevator
One on-site contact to direct guests and hand off
Vector logo file if you want it digitized
No power needed. We run entirely off the Cybertruck — no dedicated circuit, no extension runs, no generator rental on your budget. Outdoors, we bring our own canopy and weights too.

One flat base fee plus an hourly rate for time on site. Our operators, the machines, and our own power all sit inside it. Blanks are billed separately on what actually gets stitched, and custom pre-production is quoted on top.

Terms

The $300 base fee locks the date, covers pre-production, and includes one design digitized and proofed free — each additional design is a $30 one-time fee. Complex designs need 3–5 days ahead for embroidery digitizing. Hours are invoiced within 48 hours of the event, two hour minimum, billed to the quarter hour after that. Cancel 7 or more days out and the base fee is fully refunded; inside 7 days it is non-refundable but carries one free reschedule. Venue parking fees or permits are passed through at cost.
